Invoice it, track it, collect it
Issue VAT invoices from orders, deliveries or the POS, allocate partial payments and deposits, send polite Khmer reminder letters on schedule and read your cash position from one aging report. KHQR payments reconcile against receipts, and every journal posts straight into T.O Accounting.

Credit is the quiet engine of Cambodian trade: shop customers on book credit, corporate clients on net 30, deposits before goods move. T.O Accounts Receivable gives that engine a dashboard. Every invoice — from a back-office order, a delivery or a POS counter sale — carries its due date, VAT output and language. Receipts allocate across invoices fully or partially, deposits sit as unearned revenue until they net out, and reminder letters go out on schedule in the customer's language. At month-end the subledger ties to the general ledger, and the VAT output report is ready for the GDT return.

Invoice to close: the receivables loop
The loop is designed around one question — who owes what, since when — and it answers it at every step. Invoices are sequential and GDT-aware; receipts record the method and reference; reminder letters escalate politely through configured levels; and the weekly aging meeting runs off the same buckets the accountant will close the month with. Disputes, credit notes and write-offs stay inside the system, so nothing is ever reconstructed from memory.
- Invoice — orders, deliveries, POS sales or recurring plans become sequential tax invoices with VAT output computed
- Receive — cash, KHQR or bank transfers are recorded with references and allocated fully or partially; deposits net out
- Follow up — dunning levels send trilingual reminders at 7, 15, 30 and 60 days; calls and promise dates are logged
- Review and close — weekly aging meetings act on Current/30/60/90 buckets; credit notes and approved write-offs tidy the book before month-end
Customers, invoices and receipts
Everything money-in, from the first customer record to the printed official receipt.
Customer master & credit limits
Trilingual records with tax numbers, price list, terms and default currency; limits check open invoices plus new orders before release.
Invoicing from orders & deliveries
Partial quantities invoice partially, POS sales invoice automatically, and batch billing combines a month of deliveries for corporate customers.
GDT-aware invoice formats
Sequential numbers, tax identification numbers, 10% VAT breakdown and company details, printed in Khmer, English or Chinese.
Receipts & allocation
Apply a receipt across one or many invoices; residuals stay open as part-payments, never silently written off.
Deposits & advances
Deposits held as unearned revenue net automatically at invoicing — the deposit-first culture done properly.
Recurring billing plans
Rent, service contracts, subscriptions and school fees auto-draft on schedule; deferred views keep the accountant informed.
Collections, adjustments and reporting
Money that is owed stays visible, collectible and audit-ready.
AR aging 30/60/90+
Balances bucketed per customer, salesperson and branch, with drill-down to invoice level and promised-payment tracking.
Dunning & reminder letters
Configurable follow-up levels generate polite letters and emails in Khmer, English or Chinese, with a full log of what was sent.
Collections activity log
Record calls and promises-to-pay per customer; broken promises flag themselves for the next call.
Credit notes & disputes
Full or partial credits link to source invoices with reason codes; disputed invoices pause dunning until resolved.
Write-offs with approval
Small balances and uncollectible amounts move to bad debt with manager approval, an audit trail and the right GL account.
GL, VAT & cash-flow reports
The subledger ties to the control account by design, VAT output feeds the GDT return, and aging drives a cash-in forecast by week.
